Responsibilities
Visitor Management: Welcome guests, determine the nature of their visit, and direct them to the appropriate department or personnel.
Communication: Answer, screen, and forward incoming phone calls, take messages, and respond to general inquiries via email or in person.
Security & Access Control: Maintain workplace security by monitoring visitor logs, issuing badges, and managing building access.
Administrative Support: Assist with clerical duties such as filing, photocopying, scanning, and data entry.
Mail & Deliveries: Receive, sort, and distribute daily mail and packages to the correct employees.
Scheduling & Coordination: Manage calendars, book conference rooms, and arrange travel or accommodations when necessary.
Office Organization: Keep the reception area clean, tidy, and stocked with necessary office supplies.
Key Skills and Qualifications
Communication Skills: Exceptional verbal and written communication, along with a polite, professional phone manner.
Technical Proficiency: Experience with office management software (e.g., Microsoft 365, Google Workspace) and multi-line phone systems.
Multitasking: Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Customer Service: A warm, proactive, and customer-oriented attitude with the ability to handle complaints or difficult situations.
Education: A high school diploma or equivalent is typically required; additional certifications in office administration are a plus.
