Job Description:
Responsibilities
- Document Management: Receive, sort, scan, and store physical and digital documents according to company procedures.
- Version Control: Review and update documents to ensure the most recent revisions are circulated, preventing the use of outdated files.
- Compliance: Enforce formatting, numbering, and security standards to comply with legal guidelines and regulatory requirements
.
Distribution & Retrieval: Transmit project-related information to the correct personnel and retrieve archived files for internal or external audits.
Process Support: Assist various departments and project teams in creating document templates and preparing reports.
Essential Skills & Qualifications
- Software Proficiency: Strong familiarity with Electronic Document Management Systems (EDMS) like SharePoint, Aconex, TeamBinder, or ProjectWise.
- Organization: Meticulous attention to detail and strong multitasking abilities.
- Communication: Clear written and verbal communication to act as a bridge between engineering, quality assurance, clients, and subcontractors.
- Education: Typically requires a Bachelor's degree in Business Administration, Engineering, or a relevant field, or a high school diploma with extensive industry-specific document control experience.
